I have a set of e-mails in 'Order Statuses'.
For example, if an order [payment] fails it automatically send an email:
Administration > Order Statuses > Edit Status : FAILED.
TAB = User Notification.
"Dear {first_name} {last_name},
Thank you for visiting our shop; we always want to be helpful and notice that you placed an order but had a problem with the payment process.
If you need any assistance with this or any other queries we would be pleased to help. Please reply to this e-mail if you want our assistance.
If it will be easier for you, we can send you a simple payment link to buy the goods within the PayPal.
Alternatively you can make the payment direct to our bank account.
If you wish to do this, please reply to this e-mail and we will send you the banking details.

Changing the status to 'Despatched'
sends the e-mail:
"Dear {first_name} {last_name},
I am pleased to advise that your order has been collected by our carrier.
They will send you an e-mail soon to confirm the delivery details and provide you with tracking details.
Delivery will be week days and you need to advise the carrier if you need to amend the details with them."
