I'm just wondering if there is a setting within ViArt that I can change so that when a user places an order it only displays it on the admin orders page only when they have added payment details. At the moment the order is coming though to us before they have done this. We can see the order even if the user has closed the window before putting payment details in. Is there a way around this?

I have my advice set up the way you have yours as I want to know about ALL orders. I then check against the advice from PayPal. The reason is that I can follow up on orders that do not complete.
 
Your admin advice to receive these order details is in:-
.. admin_order_info.php
Send Notification to Administrator
 
I guess that, if you uncheck this and, instead, go to your Payment System and click the Final Checkout Page:
.. admin_order_final.php?payment_id=
Send Notification to Administrator
You can select to receive e-mails on 'Success'.

Actually, each order status has an option: [x] show orders with this status in the orders list for administrators by default. You can untick this option for orders with the status 'New', for example, (via Administration > Orders > Orders Statuses) and orders with this status won't be displayed in your list of sales orders by default.
